Job Purpose: Supports regional operations by maintaining office systems and enhancing regional effectiveness by providing administrative support.
Essential job results can include, but are not limited to:
§Responsible for the data entry of audit data into the appropriate online databases.
§Welcomes visitors by greeting, signing them in the visitor’s log, and assisting them in person or on the telephone and distributing calls appropriately.
§Maintains office policies by following standards and procedures.
§Files appropriate reports in case files
§Maintains office supply inventory, by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies; orders class materials, etc.
§Maintains office services by aiding in organizing office operations and procedures; designing and maintaining needed filing systems; distributing incoming mail; maintain office equipment.
§Conserves manager’s time by drafting office correspondence; providing office support to all management; performs general administrative duties, such as copying and distributing forms.
§Maintains confidence and protects operations by keeping information confidential.
§Assist Regional Auditing staff in the field in locking out/ deactivating analyzers, providing data, and updating Inspector information.
§Prepares weekly auditor status reports, from the audit database for Managerial review.
§Provides basic assistance through telephone consultations to customers/vendors in regard to the Pennsylvania Enhanced Emissions Programs.
§Provides new station activations; enters new/updated station technicians in online database; handles trouble tickets from customer hotline.
§Keeps a positive attitude amongst all co-workers and collaborative team effort by accomplishing assigned and ad hoc tasks, as needed.
§Any other duties as assigned by Regional Manager
Education:High school graduate or equivalent.Prior administrative work experience.
General computer skills – Microsoft office suite knowledge a must; telephone skills; people skills. Identifies and answers customer’s questions and concerns using defined sources of information.
Identifies correct answers.Transfers and verifies information.Identifies needed supplies.
Must be able to communicate with all levels of management and office staff effectively.
Orders supplies.May assist in reconciling cash funds for program activities.
